Do I need a tent permit?

A tent permit is required on any structure or combination of structures within 12 feet or each other totaling more than 900’ square feet by federal law. This means any singular tent larger than 30’x30’ would require permitting for a legal installation. Customers are responsible for their own permit(s), Virginia Tent Rental will provide a flame certificate.

Does Virginia Tent Rental have tents we can install ourselves?

Virginia Tent Rental only has tents that our company sets up. We don’t allow customers per our insurance set up the tents we own.

Do you have a rain plan policy?

Yes! You may reserve any weather contingent items; we require a 50% NON-Refundable deposit to hold the equipment. We require a 3-day notice if you plan to cancel, then the final amount is due, and we will use a credit card on file to pay.

Can you add sidewalls to your tent(s)?

Yes! You offer 8’ & 10’ white and all clear sidewalls for all tents.

Do you have lighting for your tents?

Yes, we have LED perimeter and ceiling string lights. We also charge an installation and distribution fee.

Do you have heating and fans?

Yes! We have 80,000 BTU & 170,000 BTU forced air heaters that come with (1) 100LB Propane tank. In order for the heaters to work you will need the entire tent enclosed with sidewalls or they don’t work. And we also offer side pole fans.

How big of a tent do I need?

Tent sizing depends on a multitude or variables. To get an accurate size on the tent you would need to let us know how many people you are expecting, do you need a dance floor, stage, room for a buffet, and will you have everyone seating around tables? Please give us as much details as you can so we can make sure you have the correct size for your event.

How do I reserve?

Go to contact us and fill out all the boxes. Give us as much information that you can. We will send you an estimate and a term & conditions in 48-72 hours. To confirm both of these documents must be signed, the order isn’t confirmed until both documents are signed, and a 50% NON-Refundable deposit is paid.

Do you offer set up?

Some items have set-up included in their prices such as tents, staging, dance floors and floors. Other items such as tables and chairs can be set up and taken down for an additional fee. But we require a layout of how you would like everything set up 10 days prior to your event.

Do you have emergency number?

We do, please call 434-296-7595 and listen to entire message and the number to call will be that message.

Do you offer site visits?

We offer a complimentary site visit in which someone will meet you onsite to help you determine the size tent you need and if you will fit in your space. Please call or email us to set up a site visit.

Do you provide CAD drawings?

We can send you a blank CAD of your tent, but we don’t offer design or decorative services.

Is the deposit refundable?

After the estimate and terms & conditions and the 50% Non-refundable deposit is paid, there are no refunds. If you pay in full and cancel within 3 days of your event.

What is the latest I can make changes to my order?

We ask that final changes are made 1 week prior to the start of the rental. Changes can be made up to 3 days prior to but are unable to be as flexible with availability of items.

What is the latest I can confirm a reservation?

You can confirm a reservation as late as you would like, however we might not be available on certain items. If you confirm closer to when you receive the reservation the better, chances we will have the equipment available.
